Scope
- This INVITES, TICKETS & RETURN POLICY (the ‘Policy’) shall apply to all attendees who have received or applied for an invitation/ticket and/or have acquired a ticket for the Event.
- This Policy is publicly available on the Website to all Attendees, whose responsibility it is to make themselves familiar with.
- This Policy is a part of the terms and condition, regulating the attendance to the Event, along with the GENERAL TERMS AND CONDITIONS for all Attendees at the World Indoor Climbing Summit 2023, available on the Website.
- Attending the Event shall constitute acceptance of this Policy, when it has been communicated to the Attendee or it may reasonably be inferred that the Attendee has had the opportunity and ease of access to familiarise themself with it.
- In the event of conflict between this Policy and any other terms and conditions (e.g. presented by the Attendee), the former shall prevail unless expressly otherwise agreed to by the Organiser in writing.
- The Organiser may alter and update this Policy from time to time. The changes shall take effect form the time of their communication to the Attendee personally or through the Website.

Definitions and Interpretation
- In this Police, unless the context otherwise requires, the following expressions have the following meanings
“WICS” or “Event” shall mean World Indoor Climbing Summit, held between June 20th 2023 and June 22nd 2023.
“Attendee” means any individual or organisation which makes arrangements with the Organiser to attend the World Indoor Climbing Summit including but not limited to Sponsors, Speakers, Rout-setter’s teams, Exhibitors and Attendees, contractors, media representatives, photographers, spectators;
“Organiser” means Walltopia AD, registered with the Bulgarian Commercial Register under Unified Identification Number (UIN) 204143670, VAT BG204143670, with seat and registered address at 1V Bulgaria blvd., Letnitsa 5570, Bulgaria, as well as its affiliated companies;
“Website” means the web page located at the following address www.climbingsummit.com ;
Further, the definition set out in the GENERAL TERMS AND CONDITIONS shall apply to this Policy as well.

Attendance by invitation
- Attendance of the Event is exclusive and pursuant to a personal invite.
- Should any individual or organisation wish to attend the Event, they may fill out the relevant form, located at the Website. The form shall be reviewed by the Organiser and subject to approval the candidate will be contacted by the Organiser.
- Forms who were not approved by the Organiser shall not be explicitly contacted.

Ticket request following invite
- Pursuant to a personal invite, you shall be directed to a Website page allowing you to request your ticket. To continue the process click on the “Book ticket” button, which will take you to your card.
- No registration is required in order to book your ticket.
- If you have also been sent a Coupon code, insert in the appropriate field in your cart and click on the “Proceed to check out” button.
- The platform will ask you to fill out a baseline of personal data and your payment details, including your name and email address. For information on how we process your personal data, please see the Organiser’s Privacy Policy.
- Please make sure your contact data is correct as this is where you will receive your order confirmation.
- The platform will visualise the ticket price, which is inclusive of all tax and service fees.
- The process is complete when you click the “Place your order” button. Please note this will lead to funds being drawn from your account.
- You will receive an email confirming your order has been placed.

Order approval
- Ticket issuing is subject to the Organiser’s approval! Approval may take 2 to 3 Business days. You will receive an explicit email confirming (or declining) your ticket order and the ticket itself.
- In case you have not received a ticket approval (or declination) in the time specified, please contact info@climbingsummit.com to check on your order status.
- Your order may be declined in case you have placed a ticket order without prior invitation by the Organiser, in case you are underaged or . The Organiser shall not deny orders, unless with sufficient reasoning.
- Should your order be denied, the prepaid ticked fees shall be returned in full. Transaction fees for the original payment shall not be reimbursed.

Name Badge
- Attendees in possession of a ticket are requested to print out and present their ticket and a personal identification document at the registration counter at the Venue. The admission ticket should be worn as a name badge at all times during WICS. Attendees are obliged at all times, on request, to show their admission ticket to officials of the Organiser who are recognizable as such.

Cancellations and Substitutions
- You may cancel your ticket at your own accord at any time, prior to June 15th, 2023.
- Upon cancellation, the tickets fee shall be refunded to the same account with which the payment was completed.
- Refunds shall be in full, with the exception of the original transfer fee, applicable by the payment system.
- Your ticket is non-transferable. You may not resell, nor gift, nor substitute your attendance. Should you wish for somebody to attend in your place, please contact info@climbingsummit.com to request his invitation.
- If for reasons unattributable to you the Event cannot be held or is postponed, the Organiser may either retain any fees paid and credit it for the postponed event, or to reimburse the Attendee after deducting costs already incurred for the organisation of the summit and which could not be recovered from third parties.

Force Majeure
- The Organiser shall not be liable for any failure or delay in performing their obligations where such failure or delay results for any cause that is beyond their reasonable control. Such causes include, but are not limited to: power failure, Internet Service Provider failure, industrial action, civil unrest, fire, flood, storms, earthquakes, acts of terrorism, acts of war, governmental action or any other event that is beyond the control of the party in question.

Waiver
- No waiver by the Organiser of any breach of this Policy shall be considered as a waiver of any subsequent breach of the same or any other provision. A waiver of any term, provision or condition of this Policy shall be effective only if given in writing and signed by the waiving party and then only in the instance and for the purpose for which it is given.
- No failure or delay on the part of any party in exercising any right, power or privilege under this Policy shall operate as a waiver of it, nor shall any single or partial exercise of any such right, power or privilege preclude any other or further exercise of it or the exercise of any other right, power or privilege.

Severance
- If any provision of this Policy is held by any competent authority to be invalid or unenforceable in whole or in part the validity of the other provisions and the remainder of the provision in question shall not be affected thereby.

Copyright
- The Organiser reserves all copyright and any other rights (if any) which may subsist in the products of, or in connection with, the organisation of the WICS Even. The Organiser may take such actions as may be appropriate to restrain or prevent copyright infringements.

Variation and Amendments
- From time to time the Organiser may:
- amend any accidental error or omission in this Policy or any promotional or informative materials concerning WICS;
- cancel or change the speakers, format, features, content, location or any other aspect of WICS without liability;
- subcontract the performance of any of its obligations to a third-party subject to the Policy remaining the same, in which case the Organiser shall be responsible for the acts or omissions of the sub-contractor(s) as if it were an act or omission of the Organiser itself.

Governing Law and Jurisdiction
- These Terms shall be governed by and construed in accordance with Bulgarian law. The parties irrevocably agree that the competent court of the Republic of Bulgaria have exclusive jurisdiction to settle any dispute which may arise out of, under, or in connection with these Terms and Conditions where an amicable resolution of the dispute cannot be reached.
